Private Lessons - Financial Organization Advice?

In rare situations across Texas, school districts will include private lesson instructors as employees of the district and allow the financial aspect to be handled by the pay roll administration of said district.

I have been fortunate to of had the luxury of this rare perk while teaching privately, however, I have also had to organize my own system of pay with the students' parents. My system, of course, failed miserably and I taught a lot of free lessons because of it... lesson learned. My system was flawed because sometimes it's not as simple as "Present and Absent"; there are also "unexcused", "excused", and make-up lessons.

I have been working on fixing this problem with an excel worksheet but again, I appreciate all and any recommendations or success stories with running a smooth sailing ship of financial organization.
